Job Description

Join our team as an Office Coordinator and play a pivotal role in ensuring the smooth and efficient operation of our office environment. You'll be at the forefront of maintaining an organized workspace, facilitating seamless administrative processes, and upholding our commitment to excellence.

Key Responsibilities:

  • Provide comprehensive office support services to ensure efficiency and effectiveness within the Evolution Group office.
  • Manage incoming and outgoing correspondence in adherence to company policies, including signing for deliveries and directing them to the appropriate staff members.
  • Maintain the office's condition by coordinating necessary technical repairs via a ticketing system and managing performance standards.
  • Ensure the functionality of office equipment, including coffee machines and vending machines, and arrange technical maintenance as needed.
  • Oversee the main canteen and small kitchens, ensuring they are always organized and well-maintained.
  • Monitor office supplies inventory and manage groceries and water supplies, including ordering, delivery control, and shopping if necessary. Prepare expense reports accordingly.
  • Pre-approve all office-related orders with the direct manager.
  • Greet, assist, and direct visitors to the appropriate guest employee, managing the biometric system, taxi service, and visitors' sign-up system in line with company policies.
  • Coordinate and maintain administrative records such as staff parking and parking for guests and subcontractors.
  • Manage the wiki page and Evo-Space for related responsibilities.
  • Assist in planning and preparing meetings, conferences, and conference calls, ensuring availability of office supplies in meeting rooms.
  • Maintain general office tidiness and supervise cleaning staff to ensure cleanliness.
  • Manage and supervise plant and gardening services to enhance the office environment.
  • Ensure the reception area is tidy and clean at all times.
  • Ensure compliance with all company policies, procedures, and guidelines and cooperate with security personnel.
  • Participate in training processes for new employees within the department.
  • Manage updates to the "Fame Wall" and supervise its technical condition.
  • Monitor and manage gym and yoga-related matters (if applicable).
  • Take care of office maintenance, including construction works, repainting, furniture inventory, ordering, and maintenance.
  • Assist with event organization and team-building activities and assist with travel arrangements if applicable.

Other Responsibilities:


  • Perform duties in accordance with company standards and procedures.
  • Comply with internal policies and instructions.
  • Execute job obligations in a proper, high-quality, and timely manner.
  • Ensure compliance and accuracy of provided information.
  • Execute any other reasonable tasks provided by the Direct Manager.
  • Serve as a replacement for colleagues during their absences as needed.
  • Attend all necessary trainings and workshops according to the development plan and requests of the Direct Manager.
  • Care for assigned work resources and items.
  • Carry out activities related to personnel safety.

Qualifications:

  • Minimum Secondary Education Required
  • Preferable up to 1 year of relevant work experience
  • Professional Working Proficiency in English and Czech both written and verbal.
  • Proficiency in Standard Software Applications (eg, MS Office, Windows)
  • Strong Work Ethic: Responsibility, Punctuality, Accuracy, and Attention to Detail
  • Ability to Execute Management Orders and Work Tasks with Precision
  • Tact and Discretion in Handling Confidential Information
  • Multitasking Abilities: Flexibility, Adaptability, and Strong Communication Skills
